Comprehensive Privacy Policy for Travel Agency Partnerships

Last Updated: 2026

Our Commitment to Privacy

At Grand World Tours, protecting the privacy, confidentiality, and integrity of information entrusted to us by our partner travel agencies and their clients is not simply a legal obligation — it is a fundamental expression of the trust, the professionalism, and the genuine care for people that defines everything we do. As a Tanzania-based safari and travel company operating across Tanzania, Kenya, and Zanzibar, we understand that the information shared with us in the course of our partnerships is sensitive, valuable, and deserving of the highest standard of protection and respect.

This Privacy Policy explains clearly and completely how we collect, process, store, share, and safeguard information provided within the context of our B2B travel agency partnerships. It complements the Official International Contract and ensures full compliance with applicable local, regional, and international data protection laws, including GDPR-equivalent standards where relevant for our international agency partners.

1. Scope of This Policy

This Privacy Policy applies to all information collected and processed in connection with our partner travel agency relationships, specifically covering the following parties and contexts.

This policy applies to partner travel agencies, tour operators, and their authorised representatives who have entered into a formal partnership agreement with Grand World Tours. It covers all client data shared by agencies for booking and operational purposes, and all information collected through communications, booking portals, training sessions, webinars, and marketing material distributions. By entering into a partnership with Grand World Tours and signing the Official International Contract, all partner agencies acknowledge and accept the terms of this Privacy Policy in full.

2. Information We Collect

We collect information directly from partner agencies or their clients solely to facilitate bookings, deliver services, and maintain the smooth and professional operation of our partnership programs. We collect only what is necessary and use it only for the purposes for which it was provided.

2.1 Agency Information

We collect the legal business name, registration details, and license numbers of partner agencies, along with Tax Identification Numbers, banking details, and payment information necessary for financial transactions. Contact details including email addresses, telephone numbers, WhatsApp contacts, and the names of official agency representatives are collected and maintained for operational and communication purposes.

2.2 Client Information Provided by Agencies

On behalf of their clients, partner agencies provide us with full names, contact information, passport details, and visa information necessary for safari bookings and national park registrations. Travel dates, detailed itineraries, personal preferences, medical conditions, and dietary restrictions are collected to ensure that every client receives a safari experience that is safe, personalised, and professionally delivered. Any special requests or additional information necessary for tour customisation, safety management, or the delivery of exceptional client experiences is also collected and handled with the utmost care and confidentiality.

2.3 Technical and Usage Data

For security and operational support purposes, we collect portal login credentials, usage patterns, and interaction history from agencies using our booking and communications platforms. Device information, IP addresses, and system data may be collected for security monitoring and technical support purposes.

3. Purposes of Data Collection

All information collected by Grand World Tours is used strictly for legitimate, clearly defined, and professionally necessary purposes connected to our B2B partnership operations.

3.1 Partnership Management

Data is used to administer the partnership program, manage tiered partnership levels, and process performance incentives and commissions. It supports compliance monitoring under the Official International Contract and enables communication of updates, promotions, training opportunities, and co-branded marketing initiatives to partner agencies.

3.2 Booking and Operational Support

Client and agency information is used to confirm itineraries, accommodations, transportation arrangements, and safari experiences. It enables the coordination of on-ground services including guides, vehicles, and logistical support across Tanzania, Kenya, and Zanzibar, and supports the management of cancellations, modifications, and emergency assistance situations with efficiency and professionalism.

3.3 Marketing and Training

Authorised marketing materials, digital content, and co-branding tools are provided to partner agencies using contact and profile information held on file. Training webinars, workshops, and certification programs for partner agency staff are coordinated and delivered using agency communication data.

3.4 Legal and Regulatory Compliance

Data is used to ensure full adherence to the terms of the Official International Contract and to meet all applicable local, regional, and international regulatory requirements. It supports audits, dispute resolution processes, and risk management activities as required by law or by the terms of our partnership agreements.

4. Legal Basis for Processing

By entering into a formal partnership with Grand World Tours and signing the Official International Contract, partner agencies provide their informed consent to the collection and processing of data for the fulfilment of contractual obligations, the pursuit of legitimate business interests including partnership administration and operational support, and compliance with all applicable legal and regulatory obligations. Grand World Tours processes data only where a clear and legitimate legal basis exists for doing so.

5. Data Sharing and Disclosure

Grand World Tours will never sell, rent, or distribute agency or client data to unauthorised third parties under any circumstances. Data may be shared only in the following carefully defined and operationally necessary contexts.

Data may be shared with authorised Grand World Tours employees or contracted staff for operational purposes directly connected to the delivery of booked services. It may be shared with carefully selected third-party service providers — including hotels, lodges, camps, guides, and transportation companies — strictly to the extent necessary for the fulfilment of confirmed bookings. Data may be disclosed when required by law, by a court order, or by a legitimate request from governmental or regulatory authorities. It may also be shared for verification, audit, or legal compliance purposes as specifically outlined in the Official International Contract.

All third-party service providers with whom data is shared are required to handle that data responsibly, confidentially, and in accordance with applicable data protection standards.

6. Data Retention Policy

Agency and client information is retained only for as long as it is genuinely necessary for the purposes of partnership operations, service delivery, or compliance with legal obligations. Upon the termination of a partnership agreement, sensitive data is either securely archived or permanently deleted in accordance with the terms specified in the Official International Contract. Client data may be retained beyond the period of active partnership where required for audit, legal, insurance, or regulatory purposes, and will be deleted as soon as those requirements are fully satisfied.

7. Security Measures

Grand World Tours employs robust, industry-standard security measures to protect all agency and client data from unauthorised access, loss, misuse, or disclosure. All communications — including email, portal interactions, and WhatsApp — are conducted through encrypted channels. Access to sensitive data is strictly controlled and limited to authorised personnel with a genuine operational need to access it. Physical and digital data is stored securely, and regular monitoring, internal audits, and vulnerability assessments are conducted to identify and address potential security risks proactively.

Partner agencies share responsibility for the security of data within their own organisations. All agencies are required to ensure that their internal data handling practices are compliant with applicable data protection standards and that client data shared with Grand World Tours has been collected with the appropriate consent and in accordance with relevant legal requirements.

8. Rights of Agencies and Clients

Partner agencies and their clients retain important rights in relation to the data held by Grand World Tours. Agencies have the right to access the data they have provided to Grand World Tours at any time upon reasonable request. They have the right to request the correction or updating of any inaccurate or outdated data. They may request the restriction of certain processing activities or the deletion of data where this is legally permissible and consistent with contractual obligations. Agencies may withdraw consent for specific processing activities, subject to the terms and obligations of the Official International Contract.

Partner agencies are responsible for ensuring that their clients are fully informed of relevant privacy practices and that all necessary client consents have been obtained prior to sharing client data with Grand World Tours.

9. International Data Transfers

For internationally based partner agencies, personal and operational data may be transferred to Grand World Tours offices, representatives, or operational partners in other countries as necessary for the fulfilment of booked services and the management of partnership activities. All international data transfers are conducted in full compliance with applicable international data protection laws and standards. By signing the Official International Contract, partner agencies provide their informed consent to such transfers being made on their behalf and on behalf of their clients.

10. Cookies and Tracking on the B2B Portal

Cookies may be used on the Grand World Tours B2B partner portal for the purposes of secure login authentication, usage analytics, and the enhancement of the user experience for partner agency staff. No personal client data is collected through cookies without the explicit consent of the relevant individual. Partner agencies and their staff can manage or disable cookies at any time through their browser settings, though doing so may affect the functionality of certain portal features.

11. Third-Party Links and Services

Partner agencies accessing the Grand World Tours platform may encounter links to or integrations with third-party services including accommodation suppliers, activity providers, and payment gateways. Grand World Tours is not responsible for the privacy practices, data handling standards, or security measures of these third-party services. Partner agencies are strongly encouraged to review the privacy policies of any third-party services they access in connection with their Grand World Tours partnership activities.

12. Data Breach Notification

In the event of a data breach affecting agency or client information held by Grand World Tours, we are committed to responding promptly, transparently, and responsibly. Upon discovering a breach, Grand World Tours will immediately investigate the nature, scope, and impact of the incident and notify all affected parties as required by applicable law and by the terms of the Official International Contract. Corrective measures will be implemented without delay to contain the breach, mitigate its impact, and prevent recurrence. Grand World Tours will cooperate fully with any regulatory investigation or audit arising from a data breach incident.

13. Updates to This Privacy Policy

This Privacy Policy may be updated periodically to reflect changes in applicable laws, operational practices, or the technological environment in which Grand World Tours operates. Partner agencies will be notified of all material updates to this policy via email or through official communication channels in advance of the changes taking effect. Continued participation in the Grand World Tours partnership program following the notification of policy updates constitutes acceptance of the revised terms.
