Registered Office: Arusha, Tanzania Registration Number: 200-721-144 TIN: 200-721-144

These Terms and Conditions govern all bookings made with Grand World Tours Ltd. By confirming a booking with us, you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions in full.

1. Booking and Contract Formation

A booking request must be submitted in writing, whether by email, website enquiry form, or signed quotation acceptance. A legally binding contract between you and Grand World Tours Ltd is formed only when we have issued a written booking confirmation and the required deposit payment has been received in full. We reserve the right to decline any booking at our reasonable discretion prior to the issuance of a formal confirmation.

The person making the booking accepts these Terms and Conditions on behalf of all individuals included in the booking and confirms that they have the authority to do so. It is the responsibility of the lead booker to ensure that all members of the travelling party are made aware of and agree to these Terms and Conditions before the booking is confirmed.

2. Prices and Inclusions

All prices quoted by Grand World Tours Ltd are denominated in the agreed currency — typically USD or EURO — unless otherwise specified in writing in your quotation or booking confirmation.

What Is Typically Included

Your tour price typically includes accommodation as specified in your itinerary, meals as indicated for each day of the programme, the services of a professional English-speaking safari guide throughout the tour, a fully equipped 4×4 safari vehicle with fuel for all game drives and transfers, all national park entry fees and conservation area fees unless otherwise stated, drinking water during safari activities, and airport transfers as specified in the itinerary.

What Is Typically Not Included

Your tour price does not include international or domestic flights unless explicitly stated, visa fees and related entry costs, comprehensive travel insurance, personal expenses of any kind, tips and gratuities for guides, drivers, and lodge staff, alcoholic and premium beverages, or optional activities and experiences not listed in the confirmed itinerary.

Price Adjustments

In the event that the Tanzanian government or park authorities impose increases in park fees, conservation levies, or applicable taxes after your booking has been confirmed, a price adjustment may be necessary. Grand World Tours Ltd will provide written notice of any such changes together with supporting evidence at the earliest possible opportunity.

3. Payment Terms

A deposit of 30% to 50% of the total tour cost is required at the time of booking to secure your reservation, with the exact deposit percentage specified in your individual quotation. The remaining balance is due 30 days before arrival for standard safari bookings, 60 days before arrival for peak season bookings or large group reservations, and immediately upon booking for reservations made within 30 days of the travel start date.

Payments may be made by international bank transfer, secure payment link, or such other approved payment method as agreed at the time of booking. All bank charges, wire transfer fees, and currency conversion costs are the sole responsibility of the client. Grand World Tours Ltd must receive the full invoiced amount net of all banking charges.

4. Cancellation and Refund Policy

All cancellation requests must be submitted in writing and will be acknowledged in writing by Grand World Tours Ltd. The date on which written cancellation is received by our office is the date used to calculate applicable cancellation charges. The following cancellation charges apply to all confirmed bookings.

Cancellations received more than 45 days before arrival result in the loss of the deposit paid. Cancellations received 30 to 44 days before arrival incur a charge of 50% of the total tour cost. Cancellations received 15 to 29 days before arrival incur a charge of 75% of the total tour cost. Cancellations received 14 days or fewer before arrival, or in the case of a no-show, incur a charge of 100% of the total tour cost.

In lieu of a cash refund, Grand World Tours Ltd may at its discretion offer a travel credit valid for 18 months from the date of cancellation, subject to availability and the conditions of our suppliers and accommodation partners. No refunds will be provided for no-shows, unused services or activities, or voluntary early departure from a tour in progress.

5. Changes Requested by the Client

All requests for changes to confirmed bookings must be submitted in writing. While Grand World Tours Ltd will make every reasonable effort to accommodate requested changes, we cannot guarantee that all changes will be possible, and changes may incur additional administrative fees or supplier costs that will be passed on to the client. Date changes are subject to availability at all accommodation properties and services included in the itinerary and may result in price adjustments where rates differ between the original and revised travel dates.

6. Changes or Cancellation by Grand World Tours Ltd

Grand World Tours Ltd reserves the right to modify confirmed itineraries where necessary due to adverse weather conditions, safety concerns, instructions from park authorities or government bodies, or unavoidable operational requirements. Where modifications are necessary, we will communicate them to the client at the earliest possible opportunity and make every effort to provide alternatives of equivalent quality and value.

In the event that Grand World Tours Ltd must cancel a confirmed tour prior to departure for reasons other than force majeure, the client will be offered the choice of a full refund of all monies paid, a credit toward a future tour of equivalent value, or an alternative tour of equal or comparable value. Grand World Tours Ltd will not be responsible for any additional costs incurred by the client as a consequence of such cancellation, including flight or visa costs.

7. Force Majeure

Grand World Tours Ltd is not liable for any failure to perform, delay in performance, or modification of services resulting from events beyond our reasonable control. Such events include but are not limited to natural disasters, floods, or extreme weather events; political unrest, civil disturbance, or government actions; pandemics, epidemics, or public health emergencies; airline cancellations, strikes, or industrial action; road closures, border restrictions, or infrastructure failures; and any other circumstances that could not reasonably have been anticipated or prevented.

In the event of a force majeure situation, Grand World Tours Ltd will make all reasonable efforts to offer alternative arrangements, reschedule the affected tour, or otherwise minimise the impact on the client. The availability and extent of any refund in force majeure situations will be dependent on costs that are recoverable from our suppliers and accommodation partners.

8. Health, Fitness, and Wellbeing

Clients are solely responsible for ensuring that they are in adequate health and physical condition for the travel activities included in their confirmed itinerary. All clients must inform Grand World Tours Ltd at the time of booking of any medical conditions, physical disabilities, dietary restrictions, or other health considerations that may affect their ability to participate safely in safari, trekking, or any other activities included in the tour.

Participation in safari, mountain trekking, and adventure travel activities involves inherent risks including but not limited to wildlife encounters, uneven and remote terrain, extreme weather conditions, high altitude environments, and limited access to medical facilities. By confirming a booking with Grand World Tours Ltd, all clients acknowledge these inherent risks and accept personal responsibility for their wellbeing throughout the tour.

9. Travel Insurance

Comprehensive travel insurance is mandatory for all clients travelling with Grand World Tours Ltd and must be arranged prior to departure. Your travel insurance policy must provide adequate cover for medical expenses and hospitalisation, emergency medical evacuation including air evacuation from remote areas, trip cancellation and curtailment, and loss or damage to personal belongings. Grand World Tours Ltd reserves the right to request proof of valid travel insurance before departure, and we strongly recommend that your policy specifically covers safari and adventure activities. Grand World Tours Ltd accepts no liability for any costs, losses, or consequences arising from a client’s failure to obtain adequate travel insurance.

10. Client Responsibilities

All clients travelling with Grand World Tours Ltd are expected to conduct themselves in a manner that is safe, respectful, and in compliance with all applicable laws and regulations throughout their tour. Clients must follow the instructions of their guide at all times, particularly with regard to wildlife safety and national park regulations. Clients must respect the wildlife, ecosystems, and conservation areas they visit and comply with all park rules and the reasonable directions of park rangers and authorities. Clients must respect the local communities, cultures, and traditions encountered during the tour and conduct themselves with sensitivity and consideration at all times. Clients must refrain from any illegal, dangerous, or irresponsible behaviour that could endanger themselves, other members of the group, guides, or local communities.

Grand World Tours Ltd reserves the right to remove from a tour any client whose behaviour poses a risk to others, disrupts the tour, or violates applicable laws or park regulations. No refund will be issued in such circumstances, and the client will be responsible for all costs associated with their removal from the tour.

11. Liability and Limitations

Grand World Tours Ltd operates as a tour operator and arranges services provided by independent third-party suppliers including lodges, camps, domestic airlines, and ground transportation providers. While we select our suppliers carefully and maintain ongoing quality oversight, we are not liable for injury, illness, loss, or damage caused by the acts or omissions of third-party suppliers. We are not liable for delays caused by airlines, immigration or border authorities, or any circumstances beyond our direct operational control. We are not liable for the loss, theft, or damage of personal belongings at any point during the tour.

The total liability of Grand World Tours Ltd in connection with any booking shall not exceed the total amount paid by the client for that booking. Nothing in these Terms and Conditions excludes or limits our liability in circumstances where such exclusion or limitation is prohibited under the laws of the United Republic of Tanzania.

12. Vehicles and Accommodation Standards

All safari vehicles operated by Grand World Tours Ltd are maintained in accordance with Tanzanian road safety and tourism industry standards and are equipped with pop-up roofs, communication equipment, first aid kits, and emergency supplies appropriate for the safari environments in which they operate. Accommodation is provided in accordance with the category selected at the time of booking, which may be budget, mid-range, semi-luxury, or luxury. In rare circumstances where the specified accommodation is unavailable due to reasons beyond our control, Grand World Tours Ltd will provide alternative accommodation of equivalent or superior standard and will communicate any such change to the client as promptly as possible.

13. Sustainability and Ethical Tourism

Grand World Tours Ltd is deeply committed to the principles of responsible, sustainable, and ethical tourism. We believe that travel done with purpose and care has the power to protect Tanzania’s extraordinary natural heritage, support local communities, and create meaningful experiences for travellers and hosts alike. We are committed to paying fair wages and providing safe, professional working conditions for all our guides, drivers, and staff. We actively support local community engagement and source goods and services locally wherever possible. We contribute to wildlife conservation efforts and operate in full compliance with all national park and conservation area regulations. We minimise our environmental footprint across all operations and encourage our clients to do the same throughout their travels with us.

All clients are expected to act as responsible guests in Tanzania’s natural and cultural environments and to minimise their personal environmental impact throughout their tour.

14. Data Protection

Personal information collected by Grand World Tours Ltd is used solely for the purposes of processing bookings, delivering tour services, and maintaining the operational relationship between the company and its clients. We do not sell, rent, or distribute personal data to unauthorised third parties. Personal information may be shared with accommodation providers, park authorities, and other service suppliers strictly to the extent necessary for the delivery of confirmed services. All electronic communications and digital signatures exchanged between Grand World Tours Ltd and its clients are considered legally binding documents. For full details of how we collect, use, and protect personal data, please refer to our separate Privacy Policy.

15. Complaints and Dispute Resolution

Grand World Tours Ltd is committed to the highest standards of client care and service quality. In the event that you experience a problem during your tour, we ask that you report it immediately to your guide or directly to our Arusha office so that we have the opportunity to resolve it promptly and to your satisfaction. If a complaint cannot be resolved during the tour, a formal written complaint must be submitted to Grand World Tours Ltd within 14 days of the completion of the tour. Complaints submitted outside this timeframe may not be considered.

Grand World Tours Ltd will acknowledge all formal written complaints within five business days and will endeavour to provide a full written response within 28 days. Where a complaint cannot be resolved through direct negotiation, the parties agree to seek resolution through mediation before resorting to formal legal proceedings. All disputes that cannot be resolved through mediation shall be subject to the exclusive jurisdiction of the courts of the United Republic of Tanzania and governed by Tanzanian law.

16. Governing Law

These Terms and Conditions are governed exclusively by the laws of the United Republic of Tanzania, including applicable tourism regulations, consumer protection provisions, and commercial contract law. Any legal proceedings arising in connection with these Terms and Conditions shall be conducted in the competent courts of Tanzania.

17. Severability

If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable under Tanzanian law, that provision shall be severed from the remaining Terms and Conditions, which shall continue in full force and effect as if the invalid provision had never formed part of the agreement.

18. Acceptance of Terms

By paying the required deposit or signing the booking confirmation, you confirm that you have read and fully understood these Terms and Conditions, that you agree to be bound by them on behalf of yourself and all members of your travelling party, and that you enter into a binding contract with Grand World Tours Ltd on this basis.
